Payment and Delivery Terms

Payment Terms

Payment terms are detailed in the personalized quotation provided. Prices indicated are VAT-exclusive, unless otherwise requested and stated. Kindly note that a quotation does not serve as a reservation of the requested item. Clients are responsible for verifying the specifications, sizing, and colors of the quoted items prior to their acceptance of the terms and conditions stated.

Validity and Stocks

The quoted prices are valid for thirty (30) days from date of quotation. The indicated availability of stock is updated on the date of preparation of the quotation. Availability of stock at the time of payment is subject for further verification.

Indent Orders

For rugs that are currently out of stock, a lead time of 90–120 days may be required. To initiate a special order of a rug, a non-refundable 60% down payment is required. Remaining balances must be settled at least four (4) working days prior to the delivery of the items, and at most by fourteen (14) days past the arrival of a custom/indent order. An additional storage fee may be charged to the client once this period has passed.

Shipping / Delivery via Flatloom®

Kindly note that we require confirmation and/or clearance of payments before the delivery/shipping out of our rugs. Shipments and delivery dates are an accurate approximate, but are not absolute guarantees. Uncontrollable factors such as weather, lapses on the end of couriers, and national holidays may cause some discrepancies or delays.

Free delivery within Metro Manila (5–7 business days) is provided. If you are located elsewhere or require further assistance, kindly reach out to your Flatloom® Sales Associate.

Flatloom®'s prices do not include insurance coverage of goods while in transport to the client's address. Pictures of the items prior to and during loading are available upon request. The quoted goods sent via the client's couriers are understood to be received in good order and condition.

The delivery and transit of existing rugs that have been sent to Flatloom® for customization or repairs shall be shouldered by the client.

Shipping / Delivery via Client

The client can request to arrange delivery themselves via a personal arrangement or through third-party couriers. In such cases, Flatloom® shall be waived from any liabilities related to the delivery of the item.

Delivery of Items

Prior to the scheduled delivery, it is recommended that the clients move fragile and sensitive objects away from the area where the rug will be placed, as Flatloom® movers will not be held liable for any damages. Photos of the rug in place may be taken by Flatloom® for documentation purposes, or posted on social media, with the owner's consent.

The clients are responsible for preparing the necessary gate passes and permits for the entry and delivery of the rugs and necessary personnel into their homes for a full delivery. Rescheduling and multiple deliveries due to the failure of preparation of such required documents will be subject to additional charges.

Additional re-delivery fees may be charged to the client should there be a failure of delivery due to the recipient's failure to prepare for the agreed upon date and time of delivery.

We accept physical checks, cash payments, credit/debit card payments, and bank deposits.

Overdue Accounts

Overdue accounts beyond the fourteen (14) day holding period for custom/indent orders are subject to a 3% interest rate, plus legal fees and miscellaneous storage fees.

Returns, Exchanges, and Cancellations

Acceptance and Exchange Policy

Any delivered items are subject to immediate inspection upon delivery to identify any damages from manufacturing or transit. Should you find that your new rug has come with a significant manufacturing defect, please reach out to the Flatloom® team immediately to inquire about an investigation and a free exchange. Should no claims be made beyond the point of delivery and acceptance, the rug will be understood as fully accepted by the client. Only items in an unmodified, original and salable state in its original packaging shall be accepted. In no other circumstance shall the purchased rug qualify for a return or exchange.

Custom, Modified, and Damaged Items

Items that have been custom-made, repaired, modified, cut-to-size, or are not in good, salable condition are not qualified for returns, exchanges, or refunds. After customization or cutting, the Flatloom® staff will gently dust and vacuum the rug before packaging and sending it out for delivery. Flatloom® does not deep clean rugs in-house.

Cancellation Policy

Clients may cancel an order within twenty four (24) hours of placing their order, provided their order has not yet been paid for (whether downpayment or full), fully processed, customized, placed in-production, and/or sent out for delivery. Clients may submit a request for cancellation immediately via email at admin@flatloom.com. Requests for cancellation will be processed and verified within twenty four (24) hours of submission of a Cancellation Request Form.

Flatloom® reserves the right to deny requests for cancellation should the above circumstances not be met. An explicit confirmation of cancellation must be provided by Flatloom® before cancellation requests are honored. Qualified refunds will be processed within 5–7 business days, unless otherwise stated.

Rug colors may appear differently depending on the lighting conditions of the space in which they are placed — natural daylight, warm incandescent light, and cool artificial light can each influence how a color reads in person. For the most accurate color reference, physical samples and swatches are available for viewing at the Flatloom showroom.

Flatloom® rugs are produced with eco-friendly, AZO-free dyes. Some AZO dyes are restricted in the EU and other regions due to health and environmental concerns. Our AZO-free alternatives are safer for children and sensitive skin, better for the environment, and comply with EU REACH and OEKO-TEX® safety standards.

Our quality wool is naturally hypoallergenic — its high-crimp, lanolin-rich fibers naturally repel dust mites, inhibit bacterial growth, and help regulate indoor moisture. The use of natural materials also means a purer, non-toxic composition—free from synthetic fibers and microplastic shedding.

Settling In

Your rug may have been carefully rolled during shipping. Unroll and lay it flat to begin settling. Lines or creases at this early stage are normal and not permanent — they may take a few weeks to fully relax.

Please note that new wool rugs naturally shed when they are first introduced to a space. Regular vacuuming, cleaning, and settling will reduce this phenomenon over time. This is a normal part of wool's character and does not affect quality.

Vacuum Regularly

Vacuum once a week on low power with slow, thorough movements. Avoid the use of beater bars or vacuum heads with bristles/ rotation to avoid pulling and damaging the pile.

Spills & Spots

Tend to spills immediately — any delay may cause permanent damage. Scope up dry solids, then blot wet spills with a dry, absorbent, undyed cloth. Mild colorless soap and lukewarm water may be used after spot testing. Never rub, machine-wash, or soak your rug.

Steam & Wet Cleaning

When necessary, Steam Cleaners and Wet Vacuums are also viable options for cleaning your Flatloom® rug provided several strict criteria are followed. Avoid high pressure, any hard chemicals, rotating brushes, or excessive water. Always use the "Wool-safe" setting on your cleaner, and only cool/ lukewarm water. Ensure complete drying, preferably under natural sunlight as soon as the cleaning is completed.

As Steam Cleaners and Wet Vacuums are not typically used for the care of handmade rugs, the Flatloom® team ultimately suggests that these must be done by professionals, to ensure the best and safest results.

Sunlight & Wear

Continuous direct sunlight may cause natural fading. Keep your rug away from direct sun where possible, or rotate every 6–12 months to ensure even wear and color. This also distributes foot traffic more evenly across the pile.

Professional Cleaning

We recommend professional hand cleaning every 6–12 months, or when stubborn stains are present. Always inform the cleaner of your rug's technical specifications. Feel free to connect us with your cleaners — our team is happy to assist with specifications and guidance.

Pilling & Sprouting

Occasional pilling and sprouting may occur from normal use. When you spot balls of fiber or loose ends rising above the pile, carefully trim them with scissors. Do not pull them out — this can damage the weave structure.

Shading

Traffic and movement may cause fibers to face different directions, creating slight variations in how light bounces from the surface — some areas appearing lighter or darker. This is the natural, unavoidable effect of "shading" and is an optical phenomenon, not a defect. Brush the pile in one direction to restore even light distribution.

Keeping Fresh

The 100% New Zealand Wool in every Flatloom® rug is naturally protected by an anti-bacterial lanolin layer. Once or twice a year, take your rug outside for thorough dusting and a few hours of direct sunlight — flip to expose both sides. The sun's UV rays disinfect and dispel bacteria, fungi, and odors.

Carpet Dents from Furniture

Note that heavy objects and furniture can cause semi-permanent or permanent dents on the surface of your rug. This is a natural phenomenon that will occur with all rugs of a certain pile height.

Size, Color & Construction

Flatloom® rugs are fully handmade with hand-dyed fibres. Non-toxic dyes also give Flatloom® rugs their signature vibrancy. With this, very slight variations in size, construction, thickness, and color may be present. Note that this is a natural phenomenon, and not a product defect.

What are the rugs made from?
Our Classic Collection rugs are made from 100% New Zealand Wool (weft) with a cotton warp, resulting in an 80/20 wool-cotton composition. They are handloomed with a hand-cut pile, using AZO-free, eco-friendly dyes.
What sizes are available?
We offer five standard sizes:

  • Size 1 — 1600 × 2300mm
  • Size 2 — 2000 × 2900mm
  • Size 3 — 2400 × 3400mm
  • Size 4 — 3000 × 4000mm
  • Size 5 — 4000 × 5000mm
Which size is best for my space?

Yes — swatches are available in a 100 × 178mm format. Simply submit a swatch request through our inquiry form or use the "Request Swatches" option on the rugs page. We'll get in touch to arrange delivery.
How do I place an order?

Where can I view the pricing of your rugs?
Flatloom® operates on a quotation basis. To receive a quote, simply add the rugs you're interested in to your inquiry from the Rugs page, and a Flatloom® associate will reach out to you within 24 working hours with full pricing details. Alternatively, feel free to reach out to us for our latest pricelist and catalogue for available items.
What payment methods do you accept?
We accept bank transfers and other payment methods as detailed in your personalised quotation. A deposit is typically required upon order confirmation, with the remaining balance due prior to delivery. Full payment terms will be outlined in your quotation.
Is there a minimum order quantity?
There is no minimum order quantity for standard sizes. For commercial or project orders, get in touch and we'll work with you on volume pricing and lead times.
Are your products readily available / on-stock?
Our quality rugs are produced in limited batches by skilled artisans. We try our best to keep every colour and size in-stock, but availability may vary. Submit an inquiry or reach out to Flatloom® directly to double check availability.
How long is your lead time?
Lead times vary depending on the size, colour, and quantity of your order. Items that are not in-stock or are custom ordered carry a lead time of 90–120 days. We'll provide a specific lead time estimate as part of your personalised quotation.
What are your delivery options?
We offer both local and international delivery. For local orders, we arrange white-glove delivery to your specified address. For international shipments, we work with trusted freight partners to ensure your rug arrives safely. Delivery details and costs will be included in your quotation.
Do you ship internationally?

How do I care for my Flatloom® rug?
